Common workflows
These step-by-step guides show the correct order when a task spans profile, operations, payments, and publishing.
Prerequisites
- You have access to the modules used in the workflow you want to follow.
- Use test data when trying a process before publishing.
What you will learn
- how to create your first service or item
- how to issue a refund, reschedule a booking, and invite an employee
- how to publish a widget and troubleshoot a missing menu item
Create your first service or item
- Open Services/Products → Categories and create the category.
- Return to Services/Products.
- Select Add service/product.
- Enter the name, price, category, and required industry information.
- Connect options if needed.
- Publish the item.
- Open the widget as a customer and check the price and availability.
Refund a paid order
- Find the order under Orders → Order list.
- Open the order and check the payment status.
- Select Payment actions → Refund when the action is available.
- Choose a full or partial amount and confirm.
- Check the payment log.
- Tell the customer how long the provider is expected to take.
Also cancel the order itself if it will not be delivered. A refund alone does not always change the order status.
Reschedule a booking
- Open Bookings → Calendar or Reservations.
- Find and open the booking.
- Choose a new date and time.
- Check the employee, table/resource, and capacity.
- Save.
- Confirm that the original time is available again and inform the customer.
Invite an employee
- Open Admin → Employees.
- Select Invite employee.
- Enter the mobile number connected to the employee’s Vipps account.
- Optionally add an email address, then choose Administrator or Employee.
- Send the invitation.
- Ask the employee to accept with the user account that has the same mobile number.
- Check access and the work schedule afterward.
Publish a booking or ordering widget
- Complete the profile, opening hours, legal information, and products/services.
- Connect payments if customers will pay online.
- Configure the Widget.
- Test the complete customer journey in a private browser window.
- Publish the business from Get started.
- Add the customer link or embed code to your website.
- Test on mobile and desktop after publishing.
Troubleshoot a missing menu item
- Check that you are in the correct business.
- Check the industry—names and features vary.
- Open Apps or Get started and check that the feature is active.
- Check the subscription and your role.
- Refresh the page or sign in again.
- Contact support if the feature is still missing.
